Order Actions

The Order Actions allow users to manage and control the state of a purchase order, including cancelling, locking, or deleting the order based on the specific requirements or status of the order.

Cancel a Purchase Order:

This feature voids the order, marking it as no longer valid.

Cancelling an order is only allowed under specific conditions:

1. The order status is marked as Pending — No Payments and No Receivings. Ang order status ay naka-mark na Pending — Walang Payments at walang Receivings.
2. The order has no payments, is marked as Delivered, but all receivings are returned. Walang payments ang order, naka-mark na Delivered, pero lahat ng receivings ay na-return.
3. The order is marked as Paid and Delivered, but all receivings are returned. Ang order ay naka-mark na Paid at Delivered, pero lahat ng receivings ay na-return.

(2) The order has no payments, is marked as Delivered, but all receivings are returned.

(3) The order is marked as Paid and Delivered, but all receivings are returned.

Lock a Purchase Order:

This feature finalizes the order to prevent further changes. You can lock an order regardless of its order status. However, an order marked as Completed is automatically locked.

When confirming to lock the order, you will need to check the following boxes:

1. I confirm that this order is final and cannot be changed after locking.
2. Adjust quantities to match released quantities (optional)

   • If checked, the order quantity will automatically adjust to reflect the number of units that have already been received. For example, if the order is for 10 units but only 5 units have been received, the order quantity will be reduced to 5 units upon locking.

     Kapag naka-check ito, kusa nang mag-a-adjust ang order quantity base sa bilang ng units na na-received na. Halimbawa, kung ang order ay para sa 10 units pero 5 units lang ang na-receive, babawasan ang order quantity at magiging 5 units na lang pag na-lock.

Delete a Purchase Order

This feature permanently deletes the order from the system, leaving no trace.

Deleting an order is only allowed under specific condition:

• The order status is marked as Pending — No Payments and No Receivings. Ang order status ay naka-mark na Pending — Walang Payments at walang Receivings.
